Completing a Pre-Installation Return




Description

If your meeting is to be the Installation Meeting then you will need to complete a Pre-Installation Return in your Pre-Meeting Actions. This will allow you to enter the names of the members that are expected to take each Office as agreed with the Master Elect. The reason why you are filling this out before the actual meeting is to ensure that all officers are compliant with Rule 104(a) of the Book of Constitutions. Any issues will therefore be highlighted so that either someone else can be chosen for that Office, or missing data affecting their eligibility can be identified and added prior to the meeting. 

After the meeting has occurred, you will simply need to confirm the Installation Return which will populate with what was entered in the Pre-Installation Return. Changes can be made if there are last minute changes, but the Post Meeting Installation Return should be very quick as the majority of the work will be completed at the point you fill out the Pre-Installation Return.




Step by Step Instructions


Step 1: Open the 'Meeting Management' screen from the 'Home' screen


Step 2: Ensure the 'Pre-Meeting' tab is selected and the 'Current Meeting' is an Installation


Step 3: Click 'Update' within the 'Pre-Installation Return' region


Step 4: Populate the 'Incoming Office Holder' fields as required using the variety of options below


Step 5a: Click 'Re-Appoint' to fill the relevant Office with the 'Outgoing Office Holder', keeping them in Office for the ensuing year.


Step 5b: Click 'Promote' where there is a common progression of Officers, for example promoting an outgoing JW to SW.


Step 5c: Type all or part of a members surname in the textbox and either press tab on your keyboard or click the magnifying glass. The system will now search for matches to the name entered and display all results, or if only a single result, populate the field.


Step 5d: If an Office is not filled by a member, then you can add 'Office Not Filled' to populate the entire Return. Type 'Office' and either press tab or click the magnifying glass.


Step 6: Once you have completed the Pre-Installation Return, click 'Save'


Additional Information

•  The Pre-Installation Return can be amended once saved up to the day of the meeting. Once the Meeting has taken place, you will need to confirm the final Installation Return, but this can still be amended after the meeting prior to clicking 'Submit PMR & Complete Meeting'.
