'Current Meeting' Screen



Description

The 'Current Meeting' screen is where you will prepare for an upcoming meeting and then, after the meeting has taken place, finalise the details of that meeting, confirming who attended and what took place. The screen is split in to two tabs, and should default automatically to the correct tab to help ensure you are completing what you need to. You should create your agenda prior to the meeting, ideally at least 2 weeks before. Once created you will be able to download the agenda in a Word document which you can then copy and paste in to your Summons. Once the meeting has taken place, you can complete a 'Post Meeting Report' to confirm whether each item on the agenda occurred and what happened (for example, that a brother was raised and who took part in the ceremony).

Options Available

•  'Home' - Returns you to the 'Home' screen.

•  'Pre-Meeting' - The 'Pre-Meeting' tab is used to complete actions prior to a meeting. Here you can create your Agenda and start to record apologies. If the next meeting is an Installation Meeting you will also need to complete a 'Pre-Installation Return'.

•  'Post Meeting' - The 'Post Meeting' tab is used after a meeting to record the attendence, complete the 'Post Meeting Report' and note any 'Charity Contrbutions'. If the meeting was an Installation Meeting then you can also finalise the Installation Return before sending it to the Master for approval.


Additional Information

• You will need to ensure the Agenda for your upcoming meeting has been created at least 2 weeks prior to the meeting. Failure to do this will result in an automatic chaser email to yourself as well as your MPDI.

• Your Agenda can be downloaded once created and copied in to your Summons. If you need to, you can still amend the Agenda after creation if there is a last minute change but must be resubmitted once amended.
