'Post Meeting' tab




Description

The 'Post Meeting' tab is used after a meeting to confirm what occurred. 

You must start by recording who attended the meeting using the 'Attendance Register', this is a key first step as it will impact the completion of the Post Meeting Report as, if someone is not recorded as having attended they will not be able to be recorded as having participated in Ceremony.

You can then confirm the items within the Post Meeting Report. These will be the items you included within the Agenda Creation process. Some items do not require any action, but others will need to you to answer with 'Yes' or 'No' to advise what actually occured. You may also need to add additional information such as Ceremony Participants to confirm who took part in a specific item.

Should the meeting be an Installation Meeting you will be required to complete the 'Installation Return'. This will already populate with the information previously entered, such as previous agenda items or data from the 'Pre-Installation Return'. The system will need to validate everyone is eligible for the Offices given and will advise if there is a problem. Upon completing an Installation Meeting, an email will be sent to the WM/MEZ with a copy of the Installation Return allowing them to advise of any mistakes or inaccuracies. They do not need to approve it, however.

•  'Home' - Returns you to the 'Home' screen.

•  Completing the 'Attendance Register' - After each meeting you must record who attended the meeting using the 'Attendance Register', this is a key first step as it will impact the completion of the Post Meeting Report as, if someone is not recorded as having attended they will not be able to be recorded as having participated in Ceremony.

•  Completing the 'Post Meeting Report' - Explanation of processing meetings in Hermes, including...
Before the Meeting: setting up an Agenda before a meeting, downloading that agenda to be added to Summons, adding Apologies
After the Meeting: Populating the Attendance Register, completing your Post Meeting Report including adding Ceremonial Participants, adding donations, downloading the attendance register and Post Meeting Report and completing the meeting.

Additional Information

• You will need to ensure the Post Meeting Report is submitted and meeting is completed within 21 days of the meeting date or you will be reminded, with your Regional Admin Office copied in. An initial reminder is sent 7 days after the meeting date.

• Hermes is not currently a replacement for your Minutes or similar Post Meeting actions that your Regional Admin Office require.
