'Member Details' Screen



Description

The 'Member Details' screen is a key screen within Hermes and is where you would administrate data related to a specific member. On this screen, the header will show the full masonic title of the selected member with 3 tabs below that contain a variety of information. 




Options Available

•  Updating a 'Preferred Name' - 'Preferred Name' is a member's preferred given name.

•  Updating a 'Familiar Name' - 'Familiar Name' is the name a member is commonly known by (e.g. Mick or Mike instead of Michael).

•  Updating a 'Photo' - Photos can added, changed and removed from a member's record. Please only upload photos with consent from the relevant member.

•  Updating an 'Address' (UK) - For members based in the UK, addresses must be added using a postcode finder to ensure accuracy of data.

•  Updating an 'Address' (Overseas) - For members living overseas, addresses can just be added as free text, within set headings. Please ensure you enter addresses as accurately as possible.

•  Updating a 'Personal Email Address' - Members should have an email address on their personal record, this email address will be used for all member communications. If the member has an Office specific email address, this can be added in the 'Lodge/Chapter Officers' screen.

•  Updating a 'Preferred Contact Number' - This is the phone number the member prefers to be contacted on. You will need to know the name of the 'Country' the phone number relates to when updating.

•  Updating an 'Alternative Contact Number' - This is an alternative phone number the member could be contacted on. You will need to know the name of the 'Country' the phone number relates to when updating. 

•  Resigning a Member - If a member resigns from your unit, you must enter this in Hermes. Here you can find instructions and useful information relating to resigning memberships.

•  Deceasing a Member - If a member of your unit unfortunately passes away, this should be recorded in Hermes. You will need to record the date of death and how you were notified when entering this information.

•  Rule 148 a Member - If a member is cessated by Rule 148, this must be recorded. Remember, the date of this cessation would be the end of the second subscription year that they have not paid their dues.

•  Reg 71 a Member - If a member is cessated by reg 71, this must be recorded. Remember, the date of this cessation would be the end of the second subscription year that they have not paid their dues. 

•  Updating a Current Member's 'In Arrears' status & 'Arrears Amount' - If you wish to amend whether a member is 'In Arrears' and the 'Arrears Amount' this can be achieved here. This includes marking a member as having paid outstanding arrears too.

•  Updating 'Employment Details' - A record of a member's 'Employment Details' are stored on the 'Member Details' screen. If you wish to update this, you can do this by clicking the relevant 'Update' button.

•  Adding 'Orders and Decorations' - If a member receives a decoration, you can record this on Hermes. Any decorations that are added are subject to validation by the UGLE Masonic Services Department.

•  Add a 'Presented / Posted Date' - If a member has a certificate number stored, but no 'Presented / Posted Date' you can add this here.


Additional Information

Should any of the data held on a member be incorrect, and you are unable to amend it, please raise a Support Request and confirm whether your Regional Admin Office can make the change for you.
